Secure AI & Automation

Enterprise Knowledge AI & Document Intelligence Answers from your own documents, with sources cited and permissions kept

We design, build and test Arabic and English assistants that answer from your policies, contracts, procedures and tickets through retrieval-augmented generation (RAG), cite the passages they used and show each user only what they can already open. We also build document processing that extracts data from forms, invoices, contracts and scanned documents, with a person reviewing wherever an error would matter.

  • Evaluation report: grounded-answer rate, retrieval quality, refusals and permission tests against the agreed thresholds
  • Deployment and administration guide: adding sources, sync, reviewers and re-running the evaluation

When you need this service

  • Staff cannot find the answer

The answer is somewhere in a policy, contract, procedure or old ticket, in Arabic or English, but search returns files, not answers, and staff end up asking colleagues or guessing.

  • An earlier chatbot was confidently wrong

A previous assistant gave fluent answers that turned out to be wrong, with no source to check, and staff stopped trusting it.

  • Documents are processed by hand

Staff re-key data from forms, invoices and contracts, scanned ones included, into your systems, which creates backlogs and entry errors.

  • Sensitive documents with uneven access

You want an assistant, but HR, legal and finance documents are open only to specific people today, and an assistant must not show them to anyone else.

The challenge

Your organisation's knowledge sits in policies, contracts, procedures and support tickets, spread across document management, the intranet, shared drives and the ticketing system, in Arabic and English, some of it only as scans. Search returns files, not answers, so staff ask colleagues or rely on whichever version they last saw. Assistants built to fix this tend to fail in one of two ways: one answers from the model's general knowledge and gives wrong answers with confidence; another retrieves from your documents but ignores who may read them. Illustrative example: an employee asks about the overtime policy and receives a fluent answer taken from a superseded version, with no source to check it against.

These assistants read the same documents that hold personal data and classified information, so the rules that already govern that data apply to them. The Personal Data Protection Law (PDPL) and its Implementing Regulations apply wherever personal data is processed, including when documents are indexed and passages are sent to a model, and sending personal data to a model that runs outside the Kingdom is a transfer question under the Regulation on Personal Data Transfer outside the Kingdom. The National Cybersecurity Authority (NCA) Essential Cybersecurity Controls (ECC-2:2024) and Data Cybersecurity Controls (DCC) are mandatory for the organisations in their scope, which NCA defines as government entities and organisations that own, operate or host critical national infrastructure; there, an assistant falls under them like any other system that handles that data. The Saudi Data and Artificial Intelligence Authority (SDAIA) Generative AI Guidelines for Government (2024) tell employees of government entities not to enter data classified Restricted or higher, under the National Data Management Office (NDMO) classification, into generative AI tools, and in a government entity that classification shapes which documents an assistant may index and where its model may run. That is why we filter by permission at query time and protect the vector index derived from your documents at the same classification as those documents.

International references help structure the work but are not Saudi requirements. The OWASP Top 10 for LLM Applications lists risks this kind of system carries, such as prompt injection hidden in a retrieved document, sensitive information disclosure, vector and embedding weaknesses, and misinformation, and the NIST AI Risk Management Framework (AI RMF 1.0) guides how they are measured and recorded. We reduce, measure and contain these risks; we do not claim to remove them. Which requirements apply to you depends on who you are and what data you process, and mapping them belongs to AI Governance & Regulatory Readiness.

How we work

  1. 1

    Scope and prepare the sources

We agree the use case, the users and the source systems with you, then review the documents: duplicates, superseded versions, scan quality and how each system holds permissions. With your subject experts we build an evaluation set of real questions in Arabic and English, with expected answers, the passages they rest on and questions the assistant should decline, and agree the acceptance thresholds the pilot must meet.

  2. 2

    Build the pilot

We connect the agreed sources, split the documents into passages and index them, tune retrieval for Arabic and English, and filter every query by the user's permissions before any passage reaches the model. Answers carry their sources, and where no source is found the assistant says so. For document processing we build extraction with validation rules and a review queue. The models run on the platform you choose and are called through your AI gateway where you have one.

  3. 3

    Evaluate and hand over

We run the evaluation set and report the grounded-answer rate, retrieval quality and refusals against the agreed thresholds, and test permissions with accounts from different departments. We also plant instructions in test documents to check that retrieved text is treated as content, not as commands; this is a build check, not the independent testing offered as AI Security Assessment & Red Teaming. After fixes and a re-run we hand over the deployment and administration guide, and operation passes to your team or to Managed AI Platforms & LLMOps.

What is included

  • Bilingual assistants grounded in your documents

Assistants that answer in Arabic or English from your documents, including questions that mix the two, with search tuned for Arabic spelling variants such as hamza forms, taa marbuta and alif maqsura, and tested on your own questions.

  • Permissions-aware retrieval

Each query is filtered at the moment it is asked against the access lists in the source system and the user's groups in your identity provider, so documents a user cannot open are not retrieved for them.

  • Answers with citations

Each answer names the document, section and version it relied on, with a link to open the source and check it.

  • Document processing and extraction

Extraction of fields from forms, invoices, contracts and scanned documents where scan quality allows, checked against validation rules such as totals, dates and ID number formats, with low-confidence fields sent to a person to review.

  • Freshness and synchronisation

A sync interval agreed for each source, picking up new documents, edits, deletions and permission changes, with the document date shown in every answer.

  • Data quality preparation

Finding duplicates, superseded versions and conflicting documents, agreeing an owner and an authoritative source for each topic, adding basic metadata such as owner, effective date and classification, and running optical character recognition (OCR) on scans.

  • Evaluation agreed with you

An evaluation set built with your experts that measures the grounded-answer rate, retrieval quality and refusal when no source exists, re-run after every significant change to documents, model or settings.

  • Human review loops

Review steps for high-impact uses, where a named reviewer approves an answer or extracted record before it is sent or used, and corrections feed back into the sources and the evaluation set.

  • Integration with your systems

Connectors to your document management system, intranet, shared drives and ticketing system, and to your identity provider for users and groups. The assistant reads from your systems of record; it does not replace them.

Safeguards and their limits

What each control does, and what it does not do. We state the limits in the design, not after go-live.

  • Grounding with citations

What it doesThe assistant is instructed to answer only from passages retrieved from your documents, not from the model's general knowledge, and each answer carries its citation so the user can check it.

Its limitThe model can still misread a correct source, summarise it too loosely, combine two passages wrongly or add details the source does not contain, and a citation does not make the source itself correct. We measure how often this happens on the evaluation set; the risk is reduced, not removed.

  • Permission filtering at query time

What it doesPermissions are applied when passages are retrieved, before any of them reaches the model, not by editing the answer afterwards, so an answer does not draw on documents the user cannot open.

Its limitIt is only as current as the permissions it last read: a change in the source takes effect at the next sync, at the refresh interval stated in the design. It also mirrors the source as it is, so a document that is over-shared today is over-shared in the assistant too.

  • Refusal when no source is found

What it doesWhen retrieval finds no passage that supports an answer, the assistant says it found none and points to the topic owner where one is set, instead of filling the gap from the model's general knowledge.

Its limitIt may decline some questions the documents could answer, for example when the question is worded very differently from the source. We track these refusals and use them to improve the sources and retrieval, but some will remain.

  • Human review for high-impact answers

What it doesIn the high-impact cases set in the design, the answer or extracted value is held until a reviewer approves or corrects it, and each approval is recorded with the reviewer's name.

Its limitIt needs named reviewers with the time and authority to review; without them the queue grows or approval becomes a formality. Reviewers can also miss errors, so a sample of approved items is checked again.

Frequently asked questions

How do you keep our existing permissions?

We filter every query against the permissions held in each source system, so a user gets answers only from documents they could open there as of the last sync, which runs at an interval stated in the design. We read the access lists from each source, match them to users and groups in your identity provider, and apply them at query time, before any passage reaches the model rather than after the answer is written. Before go-live we test this with accounts from different departments, for example finance, HR and a user with no special access, asking the same questions and checking that nothing crosses between them. If a document is over-shared in the source today, the assistant inherits that, so we report the over-shared locations we find during ingestion.

How do you measure and reduce hallucination and poor retrieval?

We measure both on an evaluation set agreed with you and reduce them through the sources, the retrieval and the refusal rules; we do not promise they disappear. The set holds real questions from your staff in Arabic and English, with expected answers and source passages, plus questions the documents do not answer. We report the grounded-answer rate (answers supported by the cited passage), retrieval quality (whether the right passage came back) and refusals where no source exists, against thresholds agreed before the pilot. Fixes include removing superseded versions, splitting long documents more finely, tuning search for Arabic, and requiring every answer to carry a source or be declined. The set is re-run after each significant change, so a regression shows up as a number, not a complaint.

Can it read scanned Arabic documents and handwriting?

It depends on scan quality and the kind of handwriting, so we test on samples of your documents before agreeing the scope. Printed Arabic on clean scans usually reads well; low resolution, skewed pages, stamps over text, faded copies, complex tables and mixed Arabic and English lower the accuracy. Handwriting is the hardest case, especially free-flowing text, while short handwritten entries in fixed boxes do better. We measure accuracy per document type on your samples and agree which types are processed automatically, which go to review and which stay manual.

How current are the answers?

As current as the last sync from each source, at an interval agreed per source and stated in the design. Sources that change often, such as tickets, can sync more often than stable ones, such as approved policies. New documents, edits, deletions and permission changes all follow the same sync. Each answer shows the date or version of the document it used, so users can see how recent it is, and during data preparation we mark the current version where old and new versions sit side by side.

What data preparation is needed?

Usually some, because an assistant is only as reliable as the documents it retrieves from, but not a full clean-up before you start. At the start we assess the in-scope sources for duplicates, superseded versions, conflicting policies, documents without an owner or date, and scans without readable text. For the pilot we agree an authoritative source and an owner for each topic, remove or mark old versions, add basic metadata and run OCR on scans. We do not rewrite your content: your owners decide which version is current, and preparation beyond the pilot scope is planned as its own phase.

Is our data used to train a model?

No, we do not train any model on your data. The assistant retrieves passages when a question is asked and passes them to the model as context, which does not change the model. If the model runs locally on a platform you control, questions and passages are not sent to a model provider; if a commercial model is used through its enterprise API, questions and passages reach that provider under its terms, and whether it may keep them or train on them depends on those terms and the settings switched on, which the design records. Personal data sent to a model outside the Kingdom is a transfer question under the Regulation on Personal Data Transfer outside the Kingdom. Your data stays yours; configurations, documentation and deliverables are handed over as set in the contract.

Where is human review needed?

Wherever a wrong answer or extracted value would affect someone's rights, money or legal position. Examples are replies sent to customers or beneficiaries, interpretations of HR and legal rules, payment data taken from invoices, and contract terms relied on in a decision. We agree these cases with you, record them in the design and name a reviewer for each; internal look-ups, such as where a procedure is kept, usually need only the citation. The organisation-wide human oversight policy belongs to AI Governance & Regulatory Readiness; this service builds the review steps into the system itself.

Which systems can it connect to?

Most systems that expose their documents and permissions through an API or a supported connector. That typically includes document management systems, intranet and collaboration sites, shared file servers and ticketing or service management systems, with your identity provider for users and groups. What decides it is whether we can read the system's permissions, not just its content; where we cannot, we limit that source to content everyone using the assistant may read, or leave it out. Extracted data can be passed to your systems after validation or review, for your staff to use, but an assistant that approves requests, updates records or sends replies on its own belongs to AI Agents & Workflow Automation.
